Change what a role can do

Every role is a list of permissions. Change a role and everyone on it changes right away. You need a role that can manage the team.

Change a role

1. Go to Team, then Roles.
2. Tap the role.
3. Turn each permission on or off. They're in groups: Jobs, Customers and sales, Money, Running the business, and Billing and ownership.
4. Tap Save role.

Some you'll want to decide for each role:

• See prices on their jobs: the job's price and totals.
• Change prices on their jobs: prices, services, discounts, fees, taxes and tips.
• See what supplies cost: unit costs and stock value in Supplies & equipment.
• See customer contact info: phone numbers, emails and addresses.
• See revenue: sales and money in Analytics and Finance.

Make your own role

1. In Team → Roles, tap New role. Or open a role's actions and tap Duplicate to start from it.
2. Give it a name.
3. Pick its Level: which roles it sits between. People only manage roles and teammates below their own level.
4. Turn on what it can do.
5. Tap Create role.

Delete a role you made

1. Open the role and tap Delete role.
2. If people are on it, pick the role they move to.
3. Tap Delete role again.

Built-in roles can't be deleted.

Didn't work?

The switch is grey

That permission is fixed for this role, or your own role doesn't have it:

• Only the Owner and Admin roles can have Utopia plan and billing. Admins always keep it, and Manage the team.
• Only the Owner can delete or hand over the business.
• You can't give a role something your own role can't do.

I can't open or change a role

You can only change roles below your own level. The Owner role never changes.

Recent changes at the bottom of Team → Roles shows who changed which role or person, and when.
