Invite your team
Invite an employee or contractor by email so they get their own Utopia login, their jobs and their pay.
Invite the people who work with you. Each one gets their own login, sees their jobs, and can clock in and see what they've earned. Nothing is needed from them to pay for Utopia.
Before you start
- Anyone whose role can manage the team can invite people. By default that's owners, admins and managers.
- You can only give a role below your own that can't do anything you can't. For example, a manager can invite employees, sales reps and contractors, but not another manager.
Steps
- Go to Team in the sidebar. On a phone, tap More, then Team.
- Tap Invite.
- Type their First name, Last name and Email.
- Pick a Business role. Each role has one line under it that says what it can do. Read Roles and permissions for more.
- Tap Send invitation.
Utopia emails them a link. The link works one time and runs out after 72 hours. To invite someone else, tap Invite another.
What your teammate does
- They open the email and tap the link.
- New to Utopia? They type a password, tick the box to agree to the Terms, and tap Create account and join. Already have a login? They tick the same box and tap Accept invitation.
- Already have a Utopia account with that email? They log in, then tap Accept invitation.
They then show up on your Team page.
See or redo an invite
On the Team page, tap Invited. You'll see everyone who hasn't joined yet and when their link runs out. Tap Resend to send a fresh link, or Cancel invite to stop it. Resending cancels the old link. You can only resend or cancel invites for roles below yours.
Didn't work?
The invite shows Email not delivered
Check the email address for typos. Then tap Resend. If the address was wrong, tap Cancel invite and invite them again with the right one.
My teammate says the link expired
Links run out after 72 hours and work only once. Go to Invited and tap Resend.
I can't pick a role
You can only give roles below yours. Ask the business owner to send the invite.
I don't see the Invite button
Your role can't manage the team. Ask the owner or an admin.
