Set up membership plans

Create a repeat-service plan like a monthly wash club, sign customers up, and approve their visits onto the calendar.

A membership plan is a service that repeats, like a monthly detail or a wash club. You build the plan once, sign customers up, and Utopia suggests their visits for you to approve.

Make a plan

  1. In the sidebar, open Jobs and click Memberships. On your phone, tap More, tap Jobs, then Memberships.
  2. Tap New plan. The setup has seven steps. Tap Continue to go to the next one.
  3. Basics: give the plan a name and a short description.
  4. The work: set the visit length and add the checklist steps for every visit. A plan is its own service, so it has its own checklist.
  5. Pricing: pick a pricing model and type the price. Add price tiers if the price depends on the vehicle, like SUV or truck.
  6. Billing: choose how often you bill, for example Monthly.
  7. Schedule: choose how often you visit, like Every 2 weeks. Add any dates to skip.
  8. Team and capacity: pick default technicians and the most members you can take.
  9. Review: add your terms, then tap Publish plan. Or tap Save draft to finish later.

Sign a customer up

  1. Open the plan and tap Add member.
  2. Pick the Customer, their vehicle, and the Start date. Change the price or schedule for this one customer if you need to.
  3. Tap Add member.

Approve visits

Utopia doesn't put visits on the calendar by itself. You approve them first.

  1. Open the customer's membership and go to the Visits tab.
  2. Under Proposed, tick the dates you want. Tap Skip this date for any you don't.
  3. Tap the approve button (it shows the count, like "Approve 3 visits"). Each visit becomes a job on your calendar.

Getting paid

Utopia keeps a record of the plan's billing, but it does not charge the customer's card. Send an invoice or record the payment yourself. See Send an invoice.

Didn't work?

I don't see New plan

Your role can't manage jobs. Ask the business owner.

Add member is missing

The plan is still a draft. Open it, tap Edit, and publish it.

There are no visits to approve

Visits are suggested only while the membership is active, and only a short time ahead. Check back closer to the date.
