Book a job
Book an appointment with the customer, the services, a date and a time, so it shows on your calendar. The car and the address can wait.
A job is one appointment: who it's for, what you'll do, and when. Booking it puts it on your calendar and in the customer's history.
Steps
- On Home, tap New, then New job. You can also tap New job on the Jobs page or on a customer's page.
- Under Customer, tap the customer's name. For someone new, tap New customer and fill in their details. To put a second person on the job, tap Add another person.
- Under Services, tap Add service and pick a service. If it has a price for each size, pick the size on that line, like Sedan or SUV. The price changes to match.
- Under Schedule, pick the Date and Start time. The Finish time fills in from how long the services take. Tap Calendar color to pick the job's color on your calendar.
- Under Where's the job?, tap At the customer's address, At my shop or Add later. You can also type an address. This is optional.
- Under Vehicles, pick their car, or tap New vehicle to add one. This is optional too. If you pick a car later, its size sets the price for you.
- Under Technicians, choose who is doing the work. This is optional.
- Type a Job title if you want one, and add Notes for the team, like a gate code.
- Check the total, then tap Create job.
Does the customer get a message?
Utopia doesn't text or email the customer when you book a job yourself. After you save, a button offers to text them a confirmation. Tap it and your phone's Messages app opens with a short message ready. You press send. It shows only when the customer has a phone number.
Customers who book from your booking page are different. They get an email when you confirm. See Answer booking requests.
Didn't work?
It says to set a price in Services first
That service has no price yet. Open Services, give it a price, then add it again. See Add your services and prices.
The address I typed looks wrong
A typed address is saved just as you typed it, and it shows on the job page. If you see "Pick a suggestion, or tap Use this address as typed", tap Use this address as typed under the box.
At my shop doesn't fill in
Your business address is empty. Add it in Settings → Business, then try again.
It says to choose the appointment date and start time
A job needs a day and a start time. Pick your best guess and move it on the calendar later.
