Start and finish a job

Tap On my way, Start job and Complete job as the day goes, then tap Get paid to record a payment, send the invoice or copy a pay link.

Each job page has one main button that shows your next step. On a phone, it sits at the bottom.

Steps

  1. Open the job. Tap it on the Calendar, or go to Jobs and tap it in the list.
  2. When you leave, tap On my way. The job shows On the way, and your customer gets an email and a text with your photo, vehicle and a live map. If texting isn't set up yet, tap Text from my phone. Keep the job page open while you drive. See Show customers who's coming.
  3. When you arrive, tap Start job to start your clock.
  4. Taking a break? Tap Pause. Tap Resume when you're back.
  5. Tick off the checklist for each service as you work.
  6. When the work is done, tap Complete job. The clock stops and the job shows as Completed. If checklist steps aren't ticked, Utopia asks first: tap Complete anyway or Keep working.

A job whose invoice is paid in full is marked completed for you once the work has started or its time has passed.

Get paid

After Complete job, the main button turns into Get paid. Tap it and pick one:

  1. Record payment: cash, Zelle, Cash App, a check or a card, on the job's invoice. See Take a payment.
  2. Send invoice: email the customer an invoice. See Send an invoice.
  3. Copy pay link: a card pay link to text them, once the invoice is sent. See Get paid online.

When the job is paid in full, the Get paid button goes away.

Reopen a finished job

A manager can tap Reopen job in the job's menu. A job with an invoice can't be reopened: void the invoice first.

Check the job's numbers (sample business)

The sample business adds Check the job's numbers, an optional last look at time, materials and payment.

Didn't work?

The Complete job button is gray

The job is still saving. Checklists don't block it.

I can't delete a job

It has payments, pay or work time on record. Tap Cancel job instead.

It says "Documents aren't signed yet"

This shows in the sample business. Tap Get them signed, or Start without signature (owners and admins only) and get it signed at pickup. See Get a document signed.

Send the invoice first, and turn on card payments: see Connect Stripe.

My paid job says Not invoiced
