Get a document signed

Make a contract or waiver template once, then send it to a customer to sign on their phone and get the signed PDF back.

Send a service agreement or waiver for your customer to sign on any phone or computer. The signed PDF comes back to Utopia. Only owners and admins can make templates and send documents.

Make a template (once)

  1. Go to Documents in the sidebar. On your phone, tap More, then Documents.
  2. Tap Templates. With no templates yet, tap Add starter templates to get ready-made ones, or Start blank. You can also tap New template at the top.
  3. Under How it's made, pick Write it or Upload a PDF.
  4. Give it a Name and a Type.
  5. If you write it, type your Terms. Special words for the customer's name, the service and the price fill in for each customer. A signature, printed name and date are added at the end for you.
  6. If you upload a PDF, tap Choose PDF. After you save, a page opens where you place the boxes. Drag a Signature box (and Date signed, Full name, or others) onto the page, then tap Save fields.
  7. Turn on Ready to use, then tap Create template.

Send it for signature

  1. On Documents, tap Send for signature.
  2. Under Document, choose your template.
  3. Pick the Customer. Their name and email fill in. You can link a Job too.
  4. Check Signer's name and Signer's email. Add a Message if you like, and choose when the Link expires.
  5. Tap Send email. Or tap Copy link and send the link yourself by text.

The customer opens the link, adopts a signature by typing or drawing it, and finishes. You'll see the document move from Waiting for signature to Signed.

After it's signed

Tap the document in the list. You'll see who signed and when. Tap Download signed PDF to save a copy.

Didn't work?

The Send for signature button is gray

Only owners and admins can send documents. Ask the business owner.

My template isn't in the list

Open it on Templates and turn on Ready to use. A PDF also needs at least one Signature or Initials box.

The customer didn't get the email

Open the document and tap Send reminder, or tap Copy link and text it to them.

I sent the wrong document

Open it and tap Void. The link stops working. Then send the right one.
