Import your customers from a spreadsheet or GoHighLevel

Move your whole customer list into Utopia at once. Utopia reads CSV files. A CSV is a plain spreadsheet file almost any program can save.

Before you start

• From Excel or Google Sheets: save or download your sheet as a CSV file.
• From GoHighLevel: export your contacts as a CSV file. Tags from GoHighLevel come in as separate tags.
• Each row needs a name (first, last, full or business name).

Steps

1. Go to Customers. On your phone, tap More, then Customers.
2. Tap Import / export. If you want a ready-made layout, tap Download CSV template first and fill it in.
3. Tap Import customers and choose your CSV file.
4. Utopia matches your columns to customer fields. Check each one. Pick Don't import for columns you don't want. Then tap Next.
5. Under Status, choose Same for everyone or let a Status (or Stage) column in your file decide.
6. Fill in the optional boxes: Lead value for leads without one, Source for rows without one and Tag everyone in this import.
7. Choose what happens to people who are already on file (matched by email or phone):
   • Skip them leaves them as they are.
   • Fill in blanks adds only what's missing.
   • Update from the file replaces their details with the file's. Empty cells never erase anything.
   • Add as new anyway makes a second record.
8. Look at the preview. It shows what each row will do: new, update or skip.
9. Tick the consent box. It says these are your own customers, you may contact them, and the list was not bought. Utopia saves your name, the time and the file with the import.
10. Tap the import button (it shows the count, like "Import 42"). When you see Import finished, tap Done.

Marketing texts

Imported contacts don't get marketing texts until you record that they agreed. If you have written permission from everyone in the file, tap Mark everyone in this import as agreed to marketing texts before Done, pick How did they agree?, tick the box and confirm. Didn't work?

The Next button is gray

Match at least one name column: first name, last name, full name or business name.

Some rows were skipped

The report lists the line numbers. Rows with no name are always skipped. To bring in rows with a bad email or phone, set rows with problems to Import anyway if they have a name.

My file won't open

Utopia only reads .csv files. Save your spreadsheet as CSV and try again.

I got duplicate customers

You probably chose Add as new anyway. Next time pick Skip them or Fill in blanks.
