Clock in and out

Clock in, take breaks and clock out from your phone or a shared shop tablet, and approve your team's hours.

Your team's hours come from Utopia's time clock. Each person clocks in from their phone, or on a shared tablet at the shop. Managers approve the hours before pay.

Clock in from your phone

  1. Go to Team, then tap My work. If you're a manager, open your own row on Team instead. It's marked You.
  2. Tap Clock in. Your phone may ask to share your location. Utopia saves it only when you clock in and out. The first time, a notice explains this: tap Continue. Locations are deleted after 90 days; your hours are kept.
  3. Going on a break? Tap Break. When you're back, tap End break.
  4. Done for the day? Tap Clock out.

Forgot to clock out yesterday? The button says When did you leave? Tap it and type the time you left.

Use a shop tablet

  1. A manager sets each person's PIN. Open the person on Team, tap More actions, then Shop tablet PIN. Type 4 to 6 numbers and tap Set PIN.
  2. On the tablet, sign in as a manager. Go to Team → Time and tap Shop tablet.
  3. Each person taps their name, types their PIN, and taps Clock in, Start break, End break or Clock out.

The tablet then stays locked on the clock, even after a refresh. Until a manager has a PIN, it says Set a PIN first.

Leave the shop tablet

  1. Tap the lock button at the top left.
  2. Someone who can manage the team taps their name, types their PIN, and taps Unlock.

Approve hours (managers)

  1. Go to Team → Time.
  2. Check each shift. Tap Fix to change one, or Add missing time for a shift someone forgot.
  3. Tap Approve on a shift. To approve many at once, tap the Approve button with a number on it, beside a person or at the top of the page.

Approved hours go to Pay. See Run payroll / see what you owe your team.

Didn't work?

The tablet says No PIN yet

That person needs a PIN. A manager sets it from Shop tablet PIN on their page.

The tablet won't open the clock

The shop tablet only works when it's signed in as a manager.

I can't leave the tablet

Only someone who can manage the team can unlock it. After five wrong PINs, wait 10 minutes.

Time shows No location

The phone didn't share its location when clocking in. Allow location for Utopia in the phone's browser settings, then clock in again next time.

I don't see Time or Pay

Only owners, admins and managers see them. Everyone else uses My work.
