Track your supplies and equipment

The Supplies & equipment page is where you keep what your business owns and uses: chemicals, towels, polishers, pressure washers and your van. Utopia tells you when something is running low and how much to reorder.

Add an item

1. Go to Supplies & equipment. On your phone, tap More, then Supplies & equipment.
2. Tap Add item.
3. Pick a Group, like Chemicals, Tools, Equipment, Vehicles or Supplies. The group decides how the item is tracked.
4. Type the Name. Pick a Type if you want.
5. For things you use up or that wear out, fill in How many you have, Counted in (like bottle or gallon) and what you pay for one.
6. Fill in Reorder when down to and Fill back up to. This is how Utopia knows when to warn you.
7. Add where you buy it under Buying, and where it is kept under Where it lives.
8. Tap Save.

When stock changes

1. Tap the item to open it.
2. Tap Adjust stock.
3. Pick Received, Used or Counted.
4. Type the amount, then tap Save.

Know what to reorder

Tap Restock list at the top of Supplies & equipment. It shows everything at or under its reorder point, grouped by supplier, and how much to buy. Tap Copy list to paste it into a text or an order.

Count supplies in a service's cost

1. Go to Services and open a service.
2. Tap Edit.
3. Under Supplies used each visit, tap Add from inventory and pick the item.
4. Type how much one visit uses, then save the service.

Now the service shows what you keep from each price after supplies.

Add a lot at once

Tap the upload button at the top of Supplies & equipment (Import from a spreadsheet). Download the template, fill it in, and upload it.

Didn't work?

I can't see the stock fields

Stock is only for groups you use up or that wear out, like Chemicals, Supplies and Tools. Equipment is tracked by condition and service dates instead. Tap Groups and types to change how a group is tracked.

An item is missing

Check the Archived tab, or clear your filters. Archived items keep their history.

I can't add an item from inventory to a service

Only items in a used-up group, like Chemicals or Supplies, can be a service supply.
