Why does my paid job say Not invoiced?
What Not invoiced, Paid and Paid · Cash App mean in the Jobs list, and how to make a job your customer paid show Paid.
The Payment column in your Jobs list shows how each job was paid. Here is what each word means:
- Paid: the job's invoice is sent and paid in full.
- "Paid · Cash App" (or Paid · Cash, Paid · Zelle and so on): payments recorded on the job itself cover the whole price, so it needs no invoice. A deposit taken when they booked counts here.
- Not invoiced: the job has no sent invoice, and the payments on the job don't cover the whole price yet. A draft invoice doesn't count.
A finished job that says Not invoiced is counted in To invoice at the top of Jobs.
Make a paid job show Paid
In your real business, payments go on the job's invoice, and an invoice must be sent before it can take a payment. You don't have to email it.
- Open the job and tap Get paid, then Record payment. The job's invoice opens. If there isn't one, a new invoice starts, filled in from the job.
- For a new invoice, check the items and tap Review invoice, then Save as draft. Nothing is emailed.
- On the invoice, tap Mark as sent. This tells Utopia the customer has the bill.
- Tap Record payment. Under Method, pick how they paid, like Cash App or Zelle.
- Tap the button that says Record and shows the amount.
The invoice now shows Paid, and so does the job. It also leaves the To invoice count.
Didn't work?
I don't see Mark as sent
The sample business doesn't have it. There, tap Send invoice instead. Nothing is really sent from the sample business.
It says to send the invoice before recording payments
The invoice is still a draft. Tap Mark as sent first, then record the payment.
The job still says Not invoiced
Check that the invoice isn't still a draft. A deposit alone keeps the job at Not invoiced until the deposit covers the whole price or you send the invoice. Then reload the Jobs list.
The job says Unpaid
The invoice is sent, but money is still owed. Record the rest of the payment on the invoice.
