Q: It says the amount is more than what's due

You can't record more than the balance. Lower the Amount. If they paid extra as a tip, put that in the tip choice instead.

Q: I can't pick a tip

Tips are turned on in Invoice settings on the Invoices page. Turn on Tipping there.

Q: The payment isn't in Finance

Go to Finance → Payments. A new payment shows as Not in my bank yet until you tap Mark as in my bank.

Q: The job still says Not invoiced

The job's invoice is probably still a draft. Open it, tap Mark as sent, then record the payment. See Why does my paid job say Not invoiced?

Record a cash, check, Zelle, Venmo, Cash App, bank or card payment on an invoice so Utopia knows it's paid.

When a customer pays you in person or by an app like Zelle, record it on their invoice. Utopia then marks the invoice paid, or partly paid, and adds the money to Finance.

Before you start

The invoice must be sent. If you gave them the bill yourself, open it and tap Mark as sent first.
Only owners, admins and managers can record payments.

Steps

Go to Invoices and open the customer's invoice. On your phone, Invoices is under More. From a finished job, you can also tap Get paid, then Record payment, to open its invoice.
Tap Record payment.
Pick Payment. If it's money paid up front before the work, pick Deposit instead.
Check the Amount. It starts at what's still owed. A part payment is fine.
Set the Date they paid.
Under Method, tap how they paid: Cash, Check, Card, Zelle, Venmo, Cash App, Bank transfer or Other.
Add a Reference if you like, such as a check number or the last 4 digits of a card.
If you allow tips, pick the tip they gave.
Tap the button that says Record and shows the amount.

You'll see the payment under Payments on the invoice. When the full amount is in, the invoice shows Paid.

About card payments

Utopia has no card reader. If you took a card on your own reader, record it here with Card. To let customers pay by card from the invoice email, see Get paid online.

Didn't work?

I don't see Record payment

It only shows on a sent invoice that still has money owed. On a draft, tap Mark as sent first. A paid invoice has nothing left to record.
