Get paid online

Let customers pay their invoice by card from the invoice email, through your customer portal, and have Utopia mark it paid.

Your customers can pay an invoice by credit or debit card from their phone. They tap the button in the invoice email, sign in to your customer portal, and pay. The customer portal is your business's own page where customers see their invoices. Utopia marks the invoice paid for you.

Before you start

  • Connect Stripe or connect Square. Card payments online need one of them. Cash, Zelle and Cash App don't; you record those yourself.
  • The customer needs an email address on file.
  • If you see Card payments are off while you build an invoice, nothing is connected yet. Tap Connect Stripe right there.
  • In the invoice, under How they can pay, keep Card online turned on. It's on unless you turn it off.

Steps

  1. Send the invoice as usual.
  2. Your customer opens the email and taps "View & pay".
  3. Your customer portal opens. The first time, they tap Sign up and make an account with the same email you have on file. After that they tap Sign in, or Magic link to get a sign-in link by email.
  4. The invoice opens. They tap the pay button, which shows the amount.
  5. A secure Stripe or Square payment page opens in a new tab. They pay there.
  6. When the payment goes through, the invoice shows Paid on your Invoices page. The payment also shows in Finance → Payments.

A deposit already paid, or a gift card or credit on the invoice, is taken off. The portal shows Balance due, and they pay only the rest, all at once.

An invoice can't be paid twice. Once it's paid or voided, the portal shows no pay button and any open payment page closes. A payment page also closes after 60 minutes.

Didn't work?

The email has no pay button

Online pay isn't set up yet, or Card online was off on that invoice. Connect Stripe or Square, then open the invoice and tap Re-send.

My customer says the invoice isn't in their account

They signed in with a different email. They need to sign in with the email the invoice was sent to, which is the one on their customer record.

My customer sees "This business hasn't set up online payments yet."

Neither Stripe nor Square is ready. Connect one. If you use Stripe, check that Card payments says On on the Stripe page.

The payment went through but the invoice isn't paid

It can take a minute. Reload the Invoices page. If it still isn't paid, talk to a person.
